Helping Families Understand Insurance Coverage and Medical Billing
At Panda Bear Pediatrics, we understand that health insurance and medical billing can sometimes be confusing. Our goal is to help families understand their insurance benefits, financial responsibilities, and payment options so they can focus on what matters most — their child’s health.
Our team is available to assist families with insurance and billing questions at both our Gilbertsville and Collegeville, Pennsylvania offices.
Accepted Insurance Plans
Panda Bear Pediatrics, LLC participates with many major commercial and managed care insurance plans, including:
- Independence Blue Cross / Blue Shield
- Highmark Blue Shield
- Aetna PPO
- Aetna HMO
- AmeriHealth Administrators
- Health Partners Plans/ Jefferson Health Plans
- Keystone First
- Keystone Health Plan East
- Capital Blue Cross
- Cigna
- TRICARE
- UnitedHealthcare
- UPMC Health Plan
Important: Insurance participation may vary by specific insurance product, provider, and network. Participation with an insurance company does not guarantee that every plan offered by that company is accepted.
If your insurance is not listed, please contact your insurance company to determine whether Dr. Dominy, Dr. Shollenberger, or Panda Bear Pediatrics, LLC participates with your specific plan.
You may also contact our Collegeville office at 610-409-8050 to confirm current insurance participation.
We encourage all families to verify their coverage, benefits, and network participation before receiving services.
Insurance Information and Payment at Your Visit
Please bring your child’s current insurance card to every appointment, even if your insurance has not changed.
This helps our office verify coverage and submit claims with accurate information.
We ask that families notify us promptly of any changes to their insurance coverage, subscriber information, or contact details.
Payment Responsibilities
- Copayments are collected at the time of service.
- Applicable coinsurance, deductibles, and outstanding patient balances are the responsibility of the patient or financially responsible party.
- When insurance coverage cannot be verified, payment may be required at the time of the visit.
- Any remaining patient responsibility will be determined after insurance processes the claim.
We accept cash, credit cards, debit cards, and personal checks.
Insurance Coverage for Newborns
Welcoming a new baby is an exciting time, but it is also important to make arrangements for your newborn’s health insurance coverage.
Some insurance plans provide temporary newborn coverage under a parent’s policy, but coverage rules and enrollment deadlines vary by insurance plan.
We strongly encourage parents to:
- Notify their health insurance company as soon as possible after their baby’s birth.
- Complete any required newborn enrollment paperwork within the applicable deadline.
- Confirm the baby’s effective date of coverage and insurance identification information.
- Provide Panda Bear Pediatrics with updated insurance information before the baby’s first appointments whenever possible.
Do not assume your newborn is automatically covered for the first 30 days without confirming the requirements with your insurance company.
Your baby will have several important pediatric visits during the first weeks and months of life. Completing insurance enrollment promptly helps prevent unexpected medical bills or claim denials.
Understanding Your Medical Bill
Panda Bear Pediatrics submits claims to your insurance company for covered medical services.
Once your insurance company processes the claim, you may receive an Explanation of Benefits (EOB) describing:
- Services submitted to your insurance company.
- Charges and insurance adjustments.
- Amounts paid by your insurance plan.
- Deductibles, copayments, or coinsurance that may be your responsibility.
An Explanation of Benefits is not a bill.
If a balance remains after insurance processes your claim, Panda Bear Pediatrics will send you a patient statement indicating the amount due.
Payments may be made:
- By telephone.
- Online through our website’s payment option.
- By mailing payment to our office.
If you have questions about a statement or insurance payment, please contact our billing team.
Understanding Well-Child Visits and Preventive Care Charges
The American Academy of Pediatrics recommends regular well-child visits throughout infancy, childhood, and adolescence.
These visits are an important part of preventive healthcare and may include:
- Physical examinations and growth measurements.
- Developmental and behavioral assessments.
- Vision and hearing screenings.
- Autism and other age-appropriate developmental screenings.
- Recommended immunizations.
- Preventive counseling and safety guidance.
Most health insurance plans cover recommended preventive well-child visits without a copayment or coinsurance when applicable coverage requirements are met.
However, some services performed during a well-child visit may be billed separately, depending on the service and insurance billing requirements.
Examples include:
- Hearing screening.
- Vision screening.
- Developmental screening questionnaires, including ASQ.
- Autism screening questionnaires, including M-CHAT.
- Certain laboratory tests and other services.
Many preventive screenings are covered without cost-sharing under applicable insurance requirements. However, coverage varies by plan, network, medical necessity, age, and other plan provisions.
As a result, some services may generate a deductible, copayment, or coinsurance responsibility.
When Your Child Has a Medical Concern During a Well-Child Visit
A well-child visit is primarily intended to evaluate your child’s growth, development, and preventive healthcare needs.
If your child also has a separate medical problem that requires additional evaluation or treatment during the appointment, the provider may perform and bill for a problem-focused office visit in addition to the preventive examination.
Examples may include:
- Evaluation and management of asthma.
- Assessment or treatment of an ear infection.
- ADHD medication management.
- Evaluation of a new or worsening medical condition.
- Management of other acute or chronic health concerns.
When a separately identifiable medical service is provided, your insurance company may apply a copayment, deductible, or coinsurance to that portion of the visit.
This means that even if your child’s preventive examination is covered at no cost, you may receive a bill for the additional medical evaluation or separately billed services.
The amount of patient responsibility is determined by your insurance plan’s benefits and processing of the claim.
Our team is available to help you understand the services billed and the insurance company’s payment determination.
Sick Visits and Follow-Up Care
Visits for illnesses, injuries, or ongoing medical conditions are generally considered problem-focused medical visits.
Depending on your insurance plan, these visits may be subject to:
- An office visit copayment.
- Coinsurance.
- Your annual deductible.
- Other applicable plan requirements.
Please consult your insurance company if you have questions regarding coverage or estimated out-of-pocket costs.
Outstanding Balances and Payment Assistance
We ask families to keep their accounts current and pay patient-responsibility balances when due.
Outstanding balances from previous visits may be requested at the time of a future appointment.
We understand that unexpected medical expenses can create financial challenges. If you have questions about your bill or are experiencing financial hardship, please contact our billing manager or office manager.
Payment arrangements may be available for families experiencing financial difficulties.
Our goal is to work with families to resolve billing concerns and establish reasonable payment arrangements when appropriate.
Accounts with unpaid balances may be referred to a collection agency following applicable practice policies and required notices.
Financial Responsibility and Divorced or Separated Parents
At Panda Bear Pediatrics, our priority is the health and well-being of every child. We believe that parental separation, divorce, and custody arrangements should not interfere with a child’s medical care.
Financial Responsibility
The parent or guardian requesting or accompanying the child for medical services is expected to address applicable copayments, deductibles, and other patient-responsibility charges at the time of service, consistent with the practice’s financial policies.
Panda Bear Pediatrics is not a party to private divorce, custody, or financial agreements between parents.
Parents are responsible for resolving any arrangements between themselves regarding the allocation or reimbursement of their child’s medical expenses.
Custody and Medical Records
When parents share legal custody, both parents generally retain rights regarding their child’s healthcare and access to medical information, subject to applicable law and court orders.
Panda Bear Pediatrics will comply with valid court orders and applicable federal and Pennsylvania laws regarding healthcare decision-making, medical record access, and patient confidentiality.
Parents should provide our office with current custody documentation or court orders that affect medical decision-making or access to records.
Our practice is not responsible for communicating routine appointment details or medical information between parents when such communication is their responsibility under applicable arrangements.
We encourage parents to communicate with one another regarding their child’s healthcare and to place their child’s medical needs first.
Requests for copies of medical records will be handled in accordance with applicable law and the practice’s medical records policies.
Disruptive or threatening conduct that interferes with patient care or the safe operation of the practice may result in appropriate action, including consideration of terminating the physician-patient relationship when legally and professionally permissible, with required notice and continuity-of-care arrangements.
